Office Assistant Job Description Schultz & Williams has an immediate opening for an Office Assistant to support senior staff members and perform office management duties. Responsibilities include reception, scheduling, expense tracking, planning meetings, coordinating conference calls, and general administrative duties such as typing and report preparation and duplication. Job Duties Reception / Operator: Greet guests; oversee scheduling and operations of conference room; and answer main telephone switchboard. Office: Ensure organization and cleanliness of common areas such as reception, conference room, print room, storage room and kitchen; insure that printers are functional and that their paper trays are full; distribute printouts and faxes as required; and coordinate staff office events. Mail: Receive and distribute daily incoming mail; address and/or apply postage to outgoing US mail; package and label outgoing UPS deliveries, and package and arrange for courier pickups. Supplies: Inventory office supplies and canvass employees to determine their needs; order office supplies as appropriate; manage receipt and distribution of new supplies. Marketing Support: Update Outlook contact list and manage mailing lists for staff and client communications. Update, print and compile marketing materials for use by senior staff. Staff Support: Provide administrative support for staff consultants through research, proofing, editing, typing and duplication of reports and other materials; make travel arrangements; and approve invoices.
